Hospitality is 7 days a week, so why not your payroll team. This isn't insignificant stuff, this your employees pay we're talking about, even the slightest error or delay can cause unnecessary stress.

Avoiding compliance mistakes with the odd headache saved doesn't make a good payroll service.

Hospitality is ripe for variable hours, last minute changes, and someone who phones in sick, the day before pay day. Flexibility should be baked into the service.

You should know what it costs and see a reduction in the legwork you have to put in. Generic payroll providers that don't understand your business, can be detrimental to it.
1. What you need to do

Truthfully, we do a lot but we can’t do it all, what we can’t do we try and make as simple as possible for you.

We’ll make sure you’re set up with:

  • a Rota tool and time tracking system
  • an employee calendar to calculate holiday and other statutory pay types
  • An automated on boarding process for new employees
  • WhatsApp number to update us with changes in real time.
  • A quick and simple email based approval workflow
  • A contact for any staff queries
  • A payment link to pay all of your team in one simple approval
2. What we'll do

The hardest part of payroll is that you never build a good routine, we fix that immediately, and it’s simple:

  • We calculate take home pay, checking for any national minimum wage increases, and birthdays to ensure pay is always correct.
  • Provide you with a simple to understand report to approve
  • Provide you with payment link to pay all of your team in one go
  • Issue payslips, P45s and P60s
  • Submit your RTI statements to HMRC
  • Submit your pension contributions to your chosen pension provider
  • Provide a breakdown each month of how much you owe HMRC
  • Provide a breakdown each month of how much you owe in pensions
  • Update your accounting records and reconcile against HMRC
3. Pricing

As a fully managed outsourced payroll system, we want to be as flexible as possible, meaning in the winter and running on a shoe string, you don’t have to pay as if you had a full summer co-hort.

£7.50 + VAT per employee per month and a minimum of £30 +VAT per month for monthly paid staff.

£3.75 + VAT per employee per week and a minimum of £30 + VAT per month for weekly paid staff. 

Invoices are sent after you have approved payroll to ensure you’re only paying for what you get and paid in arrears.

Payroll is included in our full finance department package but also available as a stand alone.

4. Working with us

“Account managers” don’t exist at our practice.

You’ll speak to the right person at the right time. Our payroll team is based in the office here in Fleet, and are available on WhatsApp, Email, Phone calls and Zoom meetings.

Your payroll will be reviewed by a full qualified payroll manager at ICB Level 3, giving you confidence in the figures that we give you.

We hold a full professional indemnity insurance policy to protect you and your employees.

Questions relating to payroll are answered same day 7 days per week as long as they are sent between 8am and 8pm meaning that your staff don’t have to wait to check if there’s a problem, and you can change something on the DAY you pay your team.

5. Tips and TRONC

Tips and TRONC is a minefield. It has to be separated from your normal pay, national insurance complications depending your system and it’s where so many hospitality businesses slip up.

We’ll establish which system you’re operating, which is best for your team and support your troncmaster where we can. We can’t provide influence but will of course provide training and admin support to help with this highly complicated area.

We make sure your team are paid by the deadlines, track multiple tip sources and keep all of the records you need to ensure you’re covered should an inspector come knocking.

Finally, with regular CPD checked by our licensor, you can be assured that we’re up to date with any changes keeping you apprised of anything that affects you specifically. 

6. Pensions

Auto-enrolment is its very own bundle of joy, especially working with variable employees who work at different volumes each week. 

We use our payroll software to calculated each pay period whether anyone should be enrolled, sending letters to your team when they’re entitled to join and enrolling them automatically when they’re eligible. 

Every 3 years we will fill in your redeclaration with the pensions regulator, re-enrolling anyone who has opted out and carry out all of the employee communication tasks.

We’ll deal with people who opt out and guide you on what you must and mustn’t do.

We aren’t however pension advisors and cannot suggest which scheme will be the best to join. We will provide you with providers that we already use but you are ultimately responsible for choosing the scheme that is right for your team.

Why This Is Important

Hospitality payroll runs at pace, but accuracy isn’t optional. Incorrect pay, late RTI submissions, or missed pension duties don’t just cause frustration, they damage trust with your team and can quickly lead to HMRC penalties and compliance issues that mount up more and more.

Outsourcing payroll ensures that you're paying your staff correctly, reporting it correctly and if anything does go wrong or crop up last minute, it's not your time it's eating into.

With many hospitality workers on low pay, working close to or being paid minimum wage, you cannot mess around, making mistakes can lead to heavy fines if you underpay your team and often those employees need the money, trust from your team can be eradicated exceptionally quickly when you get their money wrong.
